This manual is published in terms of section 51 of the Promotion of Access to Information Act, 2000 ("PAIA"), which requires every private body to make available a manual explaining how a person can request access to records it holds.

2. How to request access to a record

Send a written request to admin@buildyourmould.co.za or by post to the address above, describing the record you want and confirming your identity. We'll respond within the timeframes PAIA sets out (currently 30 days, which can be extended in limited circumstances with notice to you). If a request relates to your own personal information rather than a company record, you can also use the process in our Privacy Policy, which is usually quicker.

PAIA allows a body to charge a prescribed request fee and, where applicable, an access/reproduction fee set out in the PAIA Regulations. We will tell you the fee, if any, before processing a request that attracts one.

3. Categories of records held

As a small, single-operator web design studio, the categories of records we hold are:

Client records: briefs, uploaded reference material, project communications, and payment/invoice records — see our Privacy Policy for the full breakdown of what we collect and why.
Company and financial records required under the Companies Act, 71 of 2008 and tax legislation (e.g. registration documents, invoices, accounting records).
Standard operational records: correspondence, supplier/service-provider agreements (PayFast, Netlify, Anthropic, Resend, Techtiq), and website/server logs.

Some of these records may contain personal information about you or others; access to personal information is also governed by the Protection of Personal Information Act, 2013 ("POPIA") — see our Privacy Policy for how to exercise those rights directly, which is usually simpler than a formal PAIA request.

4. Records available without a request

Our Terms of Service and Privacy Policy are published on this website and don't require a formal request to access.
